The Role Responsibilities

Job Purpose

To provide comprehensive administrative and organizational support to the Client Coverage (CC) Paris team, including:

  • PA support to CC senior managers including diary and travel management, taxi booking, handling telephone calls, liaising with customers to set up appointments, management of contacts folder and mailing list, preparation and submission of Travel & Expenses claims, general correspondence (letters, memos, faxes, e-mails etc.), maintenance of files and archives, raising of RMS
  • Diary management for the team, via Outlook to include external and internal meetings, involving coordination and liaison with customers and staff
  • Arranging both in-house and external meetings for customers
  • Organize travel itineraries for team members, including meeting coordination, booking flights and airport transfer, booking of hotel bedrooms and other facilities, handling visas applications and invitation letters
  • Supply invitation letters for Visa Schengen for SCB colleagues abroad, after getting Regional Head Compliance
  • Management of CC Team's contacts folders and mailing lists
  • Support to CC team in relation to Network roadshows and dedicated client events

To support to Europe Communication team in relation to client events in Paris:

  • To maintain updated list of clients by seniority
  • To be the point of contact in Paris during the preparation of the event under Europe communication leadership (ie previous Diwali,10th Anniversary events)

  • To be in charge of the client events lead by the branch ie CC & FM – Economist breakfast, network event…

  • To support Europe Communication team and local Press agency team in relation to communication via social media

Other Administrative support:

  • Supervision of any administrative task required by CEO & Head of CC France including tasks related to Vendor's creation in the database, payment of invoices, cross-border recharges, SG corporate credit cards, staff absence tracker

  • Supervision of office management tasks in close cooperation with local office manager and external providers

  • Undertake ad hoc duties and projects as required including acting as backup to CEO's PA/Office Manager in her absence

People and Talent

  • Lead through example and build the appropriate culture and values. Set appropriate tone and expectations from their team and work in collaboration with all teams (origination and support function)
  • Ensure the provision of ongoing training and development of people
  • Employ, engage and retain high quality people, with succession planning for critical roles
  • Responsibility to review team structure/capacity plans: team tasks should include all the above description, additionally to FM assistance and office management in close cooperation with JLL (the external office management outsourcing team in Paris)

  • Set and monitor job descriptions and objectives for direct reports and provide feedback and rewards in line with their performance against those responsibilities and objectives.

Our Ideal Candidate
  • Good understanding of the work of the business and solid track record of secretarial / administrative experience in the function

  • Good administrative skills including organisation, planning and coordination skills

  • Excellent proven oral and written communication skills

  • Proficiency in MS Office applications, including Word and Excel

  • Language skills: French and English fluent
